App-free mode — link and QR
How to generate and share each panelist's link, send QR codes, and revoke access from the tasting detail.
Goal
Let your panelists evaluate a tasting from their phone without installing an app or creating an account. The invitation is per panelist and is managed from the "Digital evaluation" section of the tasting detail.
Steps
Open a tasting with its assigned panel
Sidebar → Evaluations → open a tasting (or create one with Create a tasting). To invite the panel, all you need is for the tasting to have panelists assigned; the invitations section is available in the tasting detail in any state.
If you haven't assigned anyone yet, you'll see the notice "Assign panelists to the tasting before generating digital invitations." and the generation buttons stay disabled.
Generate the links
In the "Digital evaluation" section, click:
- Generate links — creates each panelist's unique link without sending email.
- Send emails — generates the links and emails them to the panelists who have an email address.
- Regenerate — forces a new link (invalidates the previous one).
Share per panelist
Each table row shows the panelist with their progress and their link status. To share, you have, per row:
- Copy — copies the link to the clipboard (changes to Copied when you click it). Paste it into WhatsApp, Slack, or wherever you prefer.
- QR — opens the "Invitation for <name>" modal with the code image and the text "The panelist scans this code to open their evaluation." Click Close when you're done.
- Resend — sends the invitation email again.
Resend is only available for panelists with an email address. Those without an email appear as "No email" and are shared only with Copy or QR. While a row has no link issued, the share column shows "No link".
The panelist evaluates
When they open the link, the panelist sees the welcome screen, selects the sample by its 3-digit code or QR, fills out the sheet, and submits. The full walkthrough is in the Evaluator guide.
Track progress
The Progress column shows how many samples each panelist has done out of the total, with their bar. The link status column advances in this order:
- Not issued — you haven't generated that panelist's link yet.
- Issued — the link is generated and ready to share.
- Opened — the panelist opened the link.
- Sent — the panelist completed and submitted their evaluation. This is the final state (it does not mean "email sent").
- Revoked — you invalidated the link and it no longer works.
When a panelist completes a sample, you get a real-time notification ("<name> completed a sample").
Revoke access
If you need to invalidate a link (for example, you shared it by mistake), click Revoke in the panelist's row. The link moves to the Revoked state and stops working instantly.
Old links
QR codes or links generated with the old format https://app.areacacao.com/invitado/evaluacion/<token> still work: they automatically redirect to the current evaluator screen. You don't need to regenerate them for this reason.
Link expiration
Each link has an expiration that the system sets automatically; it's not a value you configure from this screen. The panelist sees the specific deadline on their welcome screen, in the "Deadline — Until <date>" field. If a link stops working before you close the tasting, use Regenerate to issue a new one.
